What settings do I use to make sure that I'm getting everything off of my phone so that I can hard reset it and then reload everything in a new phone?

How long should Synchronizing take?

Go to Settings>System>Clear Storage. The default password is 1234. This will delete everything from your device and restore it to the 'out of the box' condition. Syncing a new device with your pc (via activesync) shouldn't take more than a few minutes even with lots of contacts and/or appointments.

Yes, that will work, but it sure doesn't help much for keeping all my files to put on my new device!!

Right now I'm just stuck with doing it manually. No big deal as I don't have a lot of stuff, but I would rather have it work correctly.

You might want to consider using a mobile backup software like Sprite or SPB. I make periodic backups with Sprite and when and if I do a hard reset, I can simply 'restore' from a backup file and my device will reinstall about everything. I also keep most of my data on my memory card and when a hard reset is necessary you won't lose anything on the memory card, just the device.
